Customising course training periods

 

You can configure the timeframe for each course within ClickHSE to suit your business training requirements.

This feature allows you to customise 2 time periods for each course from the default setting of 365 days.

  1. The time period for a course to reset for refresher training

  2. The time period a user has to complete a course

(Time period is calculated starting from the date of assignment)

All courses will need to be configured individually should customisation be required:

  • To do this login to admin and go to Course management > Configure courses.

  • Click the ‘Configure’ button next to the course you wish to customise.

Both fields require the entry to be made in days, here are some frequently used conversions as examples:

  • 1 month = 30 days

  • 2 months = 60 days

  • 3 months = 90 days

  • 6 months = 180 days

  • 9 months = 270 days

  • 1 year = 365 days

  • 2 years = 730 days

  • 3 years = 1095 days

 

The fields you can customise are as follows:

Course status should reset after

This field sets the time frame in days for the course to reset. Resetting means that the status and score for the existing entry for each user will be saved within your audit trail and a new entry will be created.

The new entry allows the user to re-complete the course for their refresher training with their new status and score recorded.

An automatic notification is sent to user on the day before this reset happens.

When used in conjunction with Reminders this can become a powerful feature for refresher training.

Example:

You require users to complete a course annually but want to start sending them reminders 1 month (30 days) prior to their due date. You also want the user to be able to complete the course within the 1 month period should they wish to.

  • Set configure course should reset after to: 335 days (365 days less 30)

  • In Communications > Manage reminders set ‘Begin sending reminders’ to 30 days


Course should be completed within

This field sets the timeframe in days for a user to complete their course and calculates the ‘Complete by’ date shown to Users in their ‘My Courses’ section from this entry.

When used in conjunction with Reminders this can become a powerful feature for ensuring on time completion of courses.

Once the date has been reached the user will then not be able to access the course and you will need to manually re-assign access should it be required.

Example:

You require users to complete their course within 3 months from the date the course license was allocated to them and want system to remind them about this deadline 30 days in advance.

  • Set “course should be completed within” to: 90 days

  • In Communications > Manage reminders set ‘Begin sending reminders’ to 30 days
