Bulk user upload

 

Bulk user upload allows you to upload lists of users via an Excel spreadsheet to have user accounts created automatically. The feature is normally used for onboarding staff in bulk into ClickHSE.

Once a bulk user upload has been successfully completed the following will automatically take place

  1. All listed people will have a user account created.

  2. A welcome email will be sent to each user

  3. Any automations that you have setup will be applied to those users

To make a bulk user upload the spreadsheet template will need to downloaded and completed in full before uploading to ClickHSE to allow the upload tool to work. There are 6 fields for each user that you will need to complete.

  • Title – Mr/Mrs/Dr etc (this is the only field that is not mandatory)

  • First name – The users first name

  • Last name – The users surname/family name

  • Email address – The unique email address for the user being created

  • Location – The users location within your company structure

  • Department - The users location within your company structure

 

Understand your company structure first

The largest reason attributed to failed bulk user uploads is the use if incorrect company structure when completing the spreadsheet template.

Company structure is the custom list of locations and departments or job roles that you have in place for your organisation within ClickHSE. You may have a very simple structure or a lengthy and complex structure depending on how your account was configured.

To ensure your bulk upload works the entries for new users have to link to an existing location or department within your structure. The bulk upload tool will not write and create new locations or departments for you.

It is also important to remember that as you are uploading directly into your database the spelling of locations and departments needs to match exactly as it has been created within ClickHSE. Where the location or department does not match an existing option the users profile will not be created.

We have made it easy for you to check your structure, simply click the ‘Download structure’ button within Step 1 of the Upload Bulk Users screen to access your copy.

Please follow the following steps so carry out a bulk user upload. Log in to Admin and go to User management > Upload bulk users

Step 1

  • Download your company structure

  • Download the bulk upload template

Step 2

  • Complete user details onto the template document including their location and department to match one of the options from your company structure.

  • Save your document.

Step 3

  • Go to Step 3 and use select file to find your spreadsheet saved on your computer.

  • Once done click the upload button

You upload will be sent to ClickHSE. Please wait for it to be completed and do not refresh your screen. A popup will notify you once the upload has been transferred.

This message will also inform you of the number of successful user accounts created, any duplicate accounts found or if the upload has been unsuccessful.

If the upload has been unsuccessful it is likely that your fields contain errors or matches to your company structure cannot be made. Please review your document and fix an errors before re-trying. If you upload still cannot be completed contact our support team via email with yoru file attached at support@atfsolutions.com
